Hello Activators ! We are thrilled you got a ticket and look forward to meeting you!
Well, grab your wellies and camping gear and start packing for our first ever Esperance Activate. We are beyond excited to be sharing this event with you and to be getting 5500 seedings in the ground. Here’s some important information for you to look at prior to the event. Please stick with us here. There’s serious stuff and some very interesting information about the event.
Firstly! Let’s get the serious stuff out of the way, so we can get into the fun stuff.
DIRECTIONS TO THE DALYUP HALL (our HQ for the weekend)
If you drive about 36 km west of Esperance along the South Coast Highway, you’ll reach Dalyup Road on the right. This is just after the big dip across the Dalyup River! Immediately after turning right onto Dalyup Road, you’ll see a gravel track – Chain Road, to the right. Turn RIGHT down this one! This will take you to the Dalyup Hall a few hundred metres down the track. There’ll be Activate signage to guide you and a very warm welcome from the Activate crew to greet you. Please note: The hall is not on Google maps. Link to pin – https://maps.app.goo.gl/KTj5mQtCzuQqN9yZ8?g_st=ia
SAFETY & FIRST AID
FEELING UNWELL – If you are feeling unwell with COVID symptoms, or any other illness, pleeeasseee stay home, and let us know. Not only do we need to have the amount of people to plant the trees, but we also have a waitlist of people wanting to attend. Camping and planting won’t be fun if you are feeling unwell, so don’t try and talk yourself into it. At the event we will have a first aid team and numerous first-aid qualified planters. Should you start feeling unwell or suspect COVID, please present to the crew and we will respond from there.
Site OSH –Please abide by signage and follow crew instructions. There will be a brief OSH briefing on the Friday night to cover juicy OSH goss, a dedicated tree planting OSH brief on Saturday morning, and a poster with main points/reminders in the hall. Find a crew member for assistance if you have any concerns.
VEHICLE MOVEMENT – You will be greeted at the gates of the Agricultural Hall and directed to the camping area. BE AWARE there will be vehicles moving around the campsite. Please drive VERY SLOWLY & with your lights on, and with a spotter if reversing. Above all, please KEEP AN EYE ON CHILDREN, especially when reversing, and warn them about the vehicle movements.
DAM AND WATER AT FARM – Yes, there is dam and pools of water on the farm, it is muddy and slippery. Please KEEP AN EYE ON ALL CHILDREN (even if they are not yours), tell them not to go near the dam.
CAMPFIRES – No fires are permitted by campers. There will be a central fire maintained by the crew. Please do not touch the fire, add on firewood, or start your own fire. There will be a safe buffer zone marked around the fire. Please inform your children not to go any closer to the fire than the safety zone and keep an eye on them when they are near it.
OUT OF BOUNDS – As we are staying close to town and private properties, please respect locals privacy and stay on the Ag Hall site – hall, campsite, big oval and kids playground.
RURAL – We are in a rural area, so phone reception and internet will be limited and sketchy. We advise you to write down directions to the hall and / or prepare a mud map prior to leaving home. For your safety, please let the Activate Esperance crew know if you have to leave the main group.
FIRST AID – We are lucky to have experienced First Aiders amongst us, which will be identified to you during the OSH briefing. The crew wearing high-vis PINK vests will also have two-way radios, and will be able to help you too. If there’s anything important regarding your medical information you think would be helpful for us to know during an emergency, please let one of the crew know on arrival. Your information will be kept on an as-needed basis only.
First aid kit locations:
● At info station at Dalyup Hall
● Onsite vehicle (with seedling trailer)
● Refreshments marquee on farm
● Emergency vehicle will be parked up close to planting area
Closest hospital: Esperance Hospital, 36 away from Hall. Esperance District Hospital in Esperance. Emergency open 24 hours – 59 Langton Road, Ph: 9892 1222
GENERAL SAFETY – This event is entirely run by volunteers, we work very hard to bring you these unique Tree Planting Music Festivals, jam-packed with love, music, amazing food, and community. Our budgets are very low and we try to manage our event as well as we can given the financial constraints. Please keep an eye out for children (and big children) for general safety. If you see something we have missed – please let us know so we can remove the risk. Everyone has a part to play at this event and we appreciate all extra eyes and ears to keep us with our mission of planting trees.
Now, on to the JUICY DETAILS!
What to do when I arrive?
We will be ready to greet you at the Dalyup Hall from 3 pm on the Friday afternoon of the 19th of July. We’ll tick your name off our list and direct you to your camping area. When choosing a camping area, please keep in mind that loud music may continue late into the night, and therefore a campsite further from the Hall building may be more suitable for young families. If you are camping in a tent or swag you are welcome to sleep in the hall or under the veranda if the weather is looking ominous, but please beware there will be music and a lot of movement in the area.
The toilets are in the hall. Once you’ve set up your camp, head down to the Main Hall where you’ll be welcomed by everyone, grab a cuppa and hang out with your fellow Activators before sitting down to dinner together! Dinner will be served at 6 pm (kids can jump the queue and have an early dinner at 5.30pm), followed by general site induction then open mic and music.

MUSIC
After a big day out planting, we’ll be returning to homebase HQ (ahem, Dalyup Hall) to kick on the fun vibes. There’ll be open mic and jams on Friday, which is a known hit amongst the Activate gatherings, so have a think of a story/ song/ skit/ joke you’d like to share and bring it along with you on the weekend. And then on the Saturday, we have a stellar line-up of much loved locals who will be filling our ears and swooning our souls and toes, including –
LAURA PETRIE, a much loved lady who always leaves our hearts singin and our toes tappin, Laura will be serenading us with her stunning vocal range through a mix of covers and originals.
MATTY MCINTYRE, a guitar swingin tree-lovin cowboy who now calls Esperance home, delivering original folky blues that will get your toes-tappin and ya hats tippin.
DJ DORRIS.THE.BADDIE, a recently returned Esperance fella by the name of Craig aka Dori, who rocks a vest and is set to take us on a journey from our ears to our souls and out of our toes, as he delivers the doof doof instrumental tunes that we all so need in our lives!
Rosie Henderson will also be floating around capturing this special event – smile for the camera and do let us know if you’d prefer to not have your photo taken or featured anywhere.
TUCKER
Our kitchen witches and wizards are going to be dishing out all the belly filling tucker over theweekend, with all of your meals included in your ticket! This amazing team will be nourishing us with freshly made, healthy, and delicious meals, made with care and love.
Any dietary requirements will be requested at ticket checkout, and catered for on the weekend. The absolute best way to end a day of planting is to gather for a wholesome communal meal together, in true Australian style.
BYO brekkie and snacks, water bottle, cup, bowl/plate + utensils (for field lunches).
PACKING LIST
- Camping equipment – tent or small vehicle preferred, but the site is accessible to caravans and motorhomes too, blankets, mattress etc.
- Good boots/shoes for walking & tree planting. If it has rained, it can be very muddy. Gumboots or at least waterproof shoes or a spare pair are highly recommended. Planting barefoot is not fun or allowed, and you’ll likely lose a toe either from the cold or the pottiputki!
- Waterproof jacket/outfit in case we get blessed by rain a day earlier than wished for!
- Warm clothes – it might be t-shirt weather during the day but it gets COLD at night. A thick coat, thick socks, and a beanie are essential. Spare socks!
- Hat
- Dress up outfit for Saturday night – hit up the local op-shop eh?!
- Backpack for planting days containing: plate + utensils, water bottle (we will have refill stations onsite), thermos (if you’d like to bring hot drinks to site from HQ), sunscreen, lip balm (important!), yummy snacks for morning and afternoon tea. Chuck your rainjacket in here too.
- BYO crockery for dinner. To keep the event’s environmental impact low and cut down dishes, we request you bring a plate, bowl, cup and utensils. There will be a spot where you can wash and dry your dishes.
- Camping chair for sitting around the fire or resting up at lunchtime.
- Torch – yes, please! The campsite is not well lit. You’ll probably need a torch to get to and from your tent and moving around at night.
- Towel and toiletries (roll of TP if you have lots at home.
- Yoga mat and something comfy to stretch in
- Musical instruments, games, face paint, eco-glitters, and all your paraphernalia for a magical weekend!!!
And that’s it Oh, lastly:
- Drugs and Alcohol to be left at home. This is a drug and alcohol free event. Smokers, please smoke out of view of kids and away from communal areas, and downwind from everyone else please.
- We love animals, but please, DO NOT BRING YOUR DOG (or other animals) to the event. Dogs aren’t very good at planting trees unfortunately and they’ll probably try to steal the home-raised bbq lamb.
- Remember that there are no shower facilities at Dalyup Hall. If you’re not comfortable with a bit of tree planting and boogie dirt, please make arrangements to go into town for a shower.
ACTIVATE WISH LIST
The following are items that we are on the lookout for. If you have, please get in contact with the Activate crew at the details below:
Do you want to help a little more and bring some supplies for us? Everything little helps! Some items you already have at home can help us keep our budgets low, and we encourage everyone to participate as much as they can in a variety of different ways. Things we are always on the lookout to make our event sparkle:
- Snacks for morning and arvo tea – homemade preferable (less packaging!). Do you make a mean bliss ball, snack bar, dip etc. that you’d like to share with all your new planting friends?
- Fruit from your place or a nearby tree – just not anything off the side of the road that may have been sprayed!
- Eggs
- Pumpkins from your patch
- Jams, chutneys and relishes, if there’s any in your cupboard made with love.
- Toilet paper – did you hoard too much? We’d love some! Even if you just grab a roll for your family. Store in bathroom.
There are lots more items we are on the hunt for and even though it’s not listed here if you think you have something that’ll be useful to us – send us a message. According to our sustainability ethics, we try to keep our purchases to a minimum, buy 2nd hand or build ourselves if we cannot borrow. This helps us keep our costs down, supports out environmental values as a priority and makes our community working together
